Overview

The Employee Message Statistics report provides a per-user breakdown of archived message volume by communication channel for a selected date range. Use this report to understand communication activity across the firm, identify employees using specific channels, and support periodic compliance reviews.

The report is exported as a CSV file and can be opened in Excel or any spreadsheet application.


Generating the Report

  1. In the left navigation, select Reports.

  2. Click New Report.

  3. In the Report Type dropdown, select Employee Message Statistics.

  4. Set the Date Range:

    • Enter a custom start and end date, or

    • Select a preset from the dropdown (e.g., Last 30 Days).

  5. (Optional) Filter by User Group to scope results to a specific group. Defaults to All.

  6. (Optional) Check Include Archived Users to include employees who are no longer active.

  7. Click Create Report.

The report will appear in the Reports list with a Pending status while it generates. Once complete, the status changes to Download.

Note: If the report fails to generate, a Failed status is displayed. Retry by creating a new report with the same parameters.


Downloading the Report

Click the Download link next to the completed report in the Reports list. The file downloads as a CSV named in the format:

employee_messages_[startdate]_[enddate].csv

Report Contents

Header Rows

The CSV begins with metadata rows (prefixed with #) that identify the report parameters:

Data Columns

The data section begins at row 9 (after a blank row following the headers). Each row represents one user.

User Full Name

The employee's display name

Primary Email Address

The employee's primary email address as configured in the platform

[Channel] Messages

One column per configured communication source (see below)

Communication Channel Columns

One column is included for each communication source configured for your account. Each column contains the count of messages sent or received by that user within the selected date range. A value of 0 indicates no activity on that channel during the period.


Use Cases

  • Channel adoption review – Identify which communication channels employees are actively using, including potentially unapproved channels.

  • Supervisory scoping – Determine which employees have significant message volume for prioritized review.

  • Periodic compliance reporting – Share message activity data with senior management or the board as part of regular communications compliance reporting.

  • Audit support – Provide evidence of archived message coverage across channels for regulatory inquiries.


Notes and Limitations

  • Message counts reflect messages captured and archived in the platform. Messages on channels not connected to the platform will not appear.

  • The report reflects message counts at the time of generation. Running the same report parameters on different dates may return different results if archiving is ongoing.

  • Reports are retained in the Reports list and can be re-downloaded at any time. Use the trash icon to delete reports that are no longer needed.

  • Report generation time varies based on date range and user population size.
