User Import from CSV

This guide outlines how to quickly add or update multiple users at once by uploading a properly formatted CSV file.

Bulk importing users allows you to quickly add or update multiple users at once. Follow the steps below to ensure a successful import.


Important Limits and Requirements

  • Maximum rows: Each import file can include up to 2,000 users.

  • CSV format: Make sure your file follows the required format. Incorrect formatting will cause the import to fail.

  • Quoted multi-value fields: Any field that contains multiple values (such as Groups or Source Username(s)) must be enclosed in quotation marks (e.g., "Group 1,Group 2").

  • User identification: Each user is uniquely identified by their primary email address.

    • No two users can share the same primary email.

    • Each user in your CSV must have a unique email.


Common Reasons for CSV Upload Failure

  • Invalid email format: Each primary email must be in the form [email protected].

  • Unknown sources: If you include a source in “Source Username(s)” that isn’t enabled in your account, the import will fail.

  • Quoted fields: When editing an exported CSV, confirm that quotation marks (" ") correctly surround fields with multiple entries (e.g., multiple groups or source usernames). Do not add extra quotes around single values.


How to Bulk Import Users

  1. Go to User Management — found under Settings.

  2. Click Import Users — located in the top-right corner of the page.

  3. Follow the prompts:

    • Download the Import Template.

    • Fill in your user information.

    • Save the file as a .CSV.

    • Upload the saved file.

  4. System processing:

    • The system validates the file.

    • If errors are found, an error report will be provided.

    • If valid, you’ll proceed to review results.

  5. Review results:

    • See how many users will be added and how many will be updated.

    • Confirm to complete the import.


Completing the User Import Template

The CSV template includes the following columns:

Description

Current Status

Set user status: Active or Archived.

  • Active: User will be active upon import.

  • Archived: Imports user as archived. Only new users can be imported as Archived. To archive existing users, use Bulk Select in User Management.

Display Name

User’s display name (e.g., John Doe, Doe, John). Appears in alerts, communications, and collections.

Primary Email

User’s main email address (e.g., [email protected]). Must be unique and valid.

Role

Assign the user’s system role: User, Admin, or Supervisor. Refer to the User Roles documentation for details.

Group(s)

Assign the user to one or more groups. Separate multiple groups with commas, and enclose the entire field in quotes (e.g., "Group 1,Group 2").

  • Groups must exist before import.

  • This process adds groups but does not remove them.

  • Enter none if no group applies.

Source Username(s)

Add identifiers for communication platforms (sources). If adding multiple sources, separate with commas and enclose in quotes (e.g., "email:[email protected],teams:[email protected]").

  • New identifiers are added to existing ones.

  • Ensure each source is enabled in your account.

  • Enter none if no source applies.

After Import

If any errors occur during upload:

  1. Review the error log for details.

  2. Correct the CSV (check for missing quotes or formatting issues).

  3. Re-upload the file.

When successful:

  • New users are created as Active or Archived (based on your CSV).

  • Existing users are updated with any new details provided.
