Configure WhatsApp capture with FirmScribe

This article shows you how to complete the FirmScribe setup process so your WhatsApp communications can be captured for archival and review in MCO eComms.

For covered employees

Before you begin

  • Confirm your Compliance Administrator has provisioned your account for WhatsApp capture.

  • Confirm you received a FirmScribe setup email with a secure setup link.

  • Have your mobile device nearby.

  • Confirm WhatsApp is installed and active on your device.

  • Complete setup from a computer when instructed by the setup email.

NOTE: MCO uses FirmScribe to capture WhatsApp data for this source. FirmScribe captures supported communications and makes them available to MCO eComms for retention, monitoring, and review.

Setup overview

FirmScribe uses a one-time setup process to connect WhatsApp to the capture service.

During setup, you will:

  • Open the secure setup link from the FirmScribe email.

  • Start the WhatsApp setup process from your computer.

  • Open WhatsApp on your mobile device.

  • Go to Settings > Linked Devices.

  • Tap Link Device.

  • Scan the QR code shown in your browser.

  • Wait for setup to complete.

Open the setup email

  1. Open the FirmScribe setup email from your administrator.

  2. Click SET UP NOW to begin the onboarding process.

NOTE: The screenshots in this article show the general setup flow. Your screen may look slightly different depending on your device, operating system, or WhatsApp version.

Start WhatsApp setup

  1. Confirm that you have your mobile device with you.

  2. From your computer, click START SETUP.

Prepare WhatsApp on your device

FirmScribe begins preparing your account for setup. This may take a few minutes.

While the setup page is loading, prepare your mobile device:

  1. Open WhatsApp.

  2. Tap Settings.

  3. Tap Linked Devices.

  4. Tap Link Device.

Scan the QR code

After the initial configuration is complete, the setup page displays a QR code.

  1. On your mobile device, confirm you are in WhatsApp > Settings > Linked Devices.

  2. Tap Link Device.

  3. Use your device to scan the QR code shown in your browser.

NOTE: The QR code is time-sensitive and expires after 60 seconds. If the code expires, wait approximately 60 seconds for a new QR code to generate.

Wait for setup to complete

After you scan the QR code, the browser page refreshes automatically and completes setup.

Result

FirmScribe setup for WhatsApp is complete. You can close the browser tab.

Supported WhatsApp communications can now be captured by FirmScribe and made available to MCO eComms according to your organization’s configuration and policies.

Message attachments

Attachments, including images, videos, documents, contact cards, and other supported files. Attachment downloads in eComms will be available in the near future

Group message details

Group message names and group name changes, when available.

Participant phone numbers

Phone numbers of message participants.

Participant names

Participant names when stored in the employee’s contacts and available for capture.

Employee details

Employee phone number and employee name as entered in the Admin Portal.
